Privacy & Legal Information

We're pretty serious about keeping your info safe and secure. Here's the lowdown on how we handle your data when you stay with us or just browse around.

Effective Date: October 28, 2025

Introduction

Hey there! Welcome to Frostwyrm Verse Hotel & Spa. We've put together this privacy policy 'cause we think you deserve to know exactly what happens with your personal information when you book a room, grab a spa treatment, or just poke around our website.

What Information We Collect

Look, running a boutique mountain resort means we need some details from you. Here's what we typically gather:

  • Personal Details: Your name, email, phone number, and mailing address when you make a reservation
  • Payment Info: Credit card details and billing address (processed securely through our payment partners)
  • Stay Preferences: Room type, dietary restrictions, if you're bringing your furry friend, special requests
  • Communication Records: Emails, calls, or messages you've sent us through our contact forms
  • Website Usage: IP addresses, browser type, pages you visit - the usual technical stuff that helps us improve your experience
  • Loyalty Program Data: If you join our rewards program, we'll keep track of your stays and preferences

How We Use Your Information

We're not in the business of doing weird stuff with your data. Here's what we actually do with it:

  • Process your reservations and make sure your room's ready when you arrive
  • Send you booking confirmations, updates, and relevant info about your stay
  • Handle payments and prevent fraud (nobody likes credit card theft)
  • Improve our services based on guest feedback and preferences
  • Send you marketing emails about special offers - but only if you've opted in
  • Comply with legal requirements and protect our business interests

Sharing Your Information

We don't sell your data to random companies. That's just not our style. However, we do share info with:

  • Service Providers: Payment processors, booking platforms, email services - the folks who help us run things smoothly
  • Business Partners: Adventure tour operators and local services you've requested through our concierge
  • Legal Authorities: When required by law or to protect our rights
  • Corporate Transactions: If we're ever acquired or merged (not planning on it, but ya never know)

Data Security

We've got industry-standard security measures in place - encrypted connections, secure servers, restricted access to personal data. Our team's trained on privacy best practices, and we regularly audit our systems. That said, no system's 100% foolproof, so we can't guarantee absolute security. We do our best though.

International Transfers

We're based in Canada, but some of our service providers might be located elsewhere. When your data crosses borders, we make sure there are proper safeguards in place to protect it according to Canadian privacy standards.

Data Retention

We keep your info for as long as necessary to provide services and comply with legal obligations. Typically, that means reservation details stick around for about seven years (tax and accounting requirements), while marketing preferences remain until you tell us otherwise.

Agreement to Terms

By using our website or staying at Frostwyrm Verse, you're agreeing to these terms. If something doesn't sit right with you, let's chat before you book - we're pretty reasonable folks.

Booking & Reservations

Making a Reservation: When you book a room, you're entering into a contract with us. We'll hold your room, you show up when you said you would. Pretty straightforward stuff.

Payment Terms: We typically require a deposit at booking, with the balance due at check-in or check-out depending on your reservation type. We accept major credit cards and debit cards. Payment's processed in Canadian dollars (CAD).

Cancellation Policy: Life happens, we get it. Standard reservations can be cancelled up to 72 hours before arrival for a full refund. Within 72 hours, you're looking at a one-night charge. Peak season and special packages might have different terms - we'll let you know upfront.

No-Shows: If you don't show up and didn't cancel, we'll charge the full reservation amount. Not trying to be harsh, but we likely turned away other guests for your booking.

Guest Responsibilities

  • Check-in/Check-out: Standard check-in's at 3 PM, check-out's at 11 AM. Need different times? Just ask - we'll do what we can.
  • Occupancy Limits: Don't pack more people into your room than what's allowed. It's a safety and comfort thing.
  • Property Respect: Treat our place like you'd want guests to treat yours. Damages beyond normal wear and tear will be charged to your card on file.
  • Noise & Conduct: We're all about relaxation here. Keep the noise down after 10 PM so everyone can enjoy their mountain retreat.
  • Pets: We love furry friends! But they need to be well-behaved, and there's a cleaning fee. Service animals are always welcome at no charge.
  • Smoking: This is a non-smoking property. There's a hefty cleaning fee if you light up inside ($500 minimum).

Liability & Disclaimers

We work hard to keep things safe and running smoothly, but we can't be held responsible for stuff beyond our control - acts of nature, power outages, your personal belongings, injuries from adventure activities (skiing's awesome but risky), or issues with third-party services we've recommended.

Keep your valuables in the in-room safe. We've got basic security, but we're not liable if something goes missing from your room.

Modifications to Services

Sometimes we need to do maintenance, update amenities, or adjust services. We'll try to give you advance notice if it affects your stay. In rare cases where we can't provide what you booked (like a spa closure), we'll offer alternatives or partial refunds.

Intellectual Property

All the content on our website - photos, text, logos, designs - that's our intellectual property. Don't copy it for commercial use without asking us first. Personal use for planning your trip? Totally fine.

Governing Law

These terms are governed by the laws of British Columbia, Canada. Any disputes will be handled in the courts of BC. We'd rather settle things amicably over coffee, though.

Changes to Terms

We might update these terms occasionally. If there are major changes, we'll notify guests with upcoming reservations. The latest version's always posted here with the effective date.

Your Rights Under Canadian Privacy Law

Under PIPEDA (Personal Information Protection and Electronic Documents Act) and similar provincial laws, you've got rights when it comes to your personal data. Here's what you can do:

Access Your Data

Request a copy of what personal information we have about you. We'll provide it in a readable format within 30 days.

Correct Your Data

If something's wrong or outdated, let us know and we'll fix it. Keeping accurate records benefits both of us.

Delete Your Data

Request deletion of your personal info (with some exceptions for legal and accounting requirements). We'll wipe what we can.

Opt-Out of Marketing

Don't want promotional emails? Click unsubscribe or contact us. You'll still get transactional emails about your bookings.

Data Portability

Get your data in a machine-readable format if you want to transfer it elsewhere. Usually takes about a week to prepare.

Ask Questions

Wondering how we use your info? Have concerns? Reach out anytime. We're here to explain things in plain language.

How to Exercise Your Rights

Just send us an email at reservations@frostwyrmverse.info with "Privacy Request" in the subject line. We'll verify your identity (gotta make sure we're giving info to the right person) and respond within 30 days.

Filing a Complaint

If you're not satisfied with how we've handled your privacy concerns, you've got the right to file a complaint with the Office of the Privacy Commissioner of Canada. We'd really appreciate the chance to make things right first, though.

Questions or Concerns?

Look, privacy stuff can be confusing. If you've got questions about how we handle your data, want to exercise your rights, or just need clarification on something in this policy, don't hesitate to reach out.
